Getting started

From signup to your first automated follow-up in about ten minutes. You'll need admin access to your QuickBooks Online company.

1. Create your account

Sign up with your business name and email — no card needed. Your 14-day trial starts immediately and includes everything.

2. Connect QuickBooks

  1. From the dashboard, click Connect to QuickBooks.
  2. Log in with your Intuit account and choose the company to connect.
  3. Approve access — we ask for accounting scope only, and we only ever read estimates and customers, and update an estimate's status when your customer accepts it.

Multi-company? Each connected QuickBooks company syncs separately, and accepts are always written back to the company the estimate came from.

3. Watch your estimates sync

Your estimates appear on the Estimates page within seconds. We keep them fresh two ways: QuickBooks notifies us the moment an estimate changes (webhooks), and we do a full sweep every hour as a backstop. You can also force a sync any time with the ↻ Sync from QuickBooks button.

Each estimate shows its live QuickBooks status:

StatusMeaningDo we chase it?
PendingSent, awaiting the customer's decisionYes
AcceptedCustomer said yesNo — chasing stops instantly
RejectedCustomer declinedNo
Closed / ConvertedInvoiced or manually closedNo

4. Set your sending address

Go to Settings → Sender and set the name and email address your reminders come from — e.g. accounts@yourcompany.co.uk. Emails from your own domain land in inboxes and get replies; we'll walk you through the one-time domain verification (DKIM) when you save it.

5. Turn on the default reminder schedule

Settings → Reminder rules ships with a proven default cadence: a friendly nudge 3 days after the estimate goes out, a second at 7 days, and a final reminder the day before it expires. Edit, reorder or rewrite them freely — see the reminders guide.

That's it. From now on every Pending estimate is chased automatically until it's accepted, declined or expires. Track the funnel — sent → viewed → accepted — on your dashboard.
